This checklist is
a guide for arranging the logistics for your exchange visit. Please note
that this list is not comprehensive and that additional issues might have
to be addressed.
Drawing
up a budget & arranging finances
A budget has been
drawn up to guide expenditure during the trip and to help anticipate
necessary payments
An emergency fund
has been arranged to cover unexpected expenses (medical, vehicle, etc).
A system for recording
expenses and keeping track of the cash balance is in place

Arrangements
with the hosts
The host community
is informed about the details of the visits and have received a programme
Meals and overnight
facilities are arranged with the local hosts or other service providers
(and special needs of participants are accommodated)
A venue is arranged
that suits the designed process for the community exchange

Roles
of facilitation team members & dealing with emergencies
Responsibilities
have been clearly assigned to competent individuals (driving, facilitating,
special events, stopovers etc.)
It is clear how
the team is going to stay in touch during the exchange visit
Emergency measures
are in place for any expected problems (procedures, equipment, etc)
A suitable first
aid kit is available to take on the journey
Any special medical
needs have been identified
For longer journeys,
medical insurance has been considered and necessary action taken
